Privacy policy

Last updated: 2 November 2026

This policy explains what personal data Menkor Aviation collects when you use www.menkoraviation.com, why we use it, and the rights you have. We keep it short and plain.

Who we are

The controller of your personal data is Menkor Aviation Ltd, a company registered in England and Wales under company number 16051490, with its registered office at 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ. You can reach us about anything in this policy at [email protected].

What we collect

  • Contact and quote forms: your name, first name, email address, phone number, the subject and your message, plus the page you sent the form from.
  • Charter estimator: the trip details you enter (route, dates, passengers) and, if you ask us for a quote, your name, email address, phone number and company. The estimate itself is calculated in your browser. When you request a quote, the estimator opens your own email app with a pre-filled message to us, so the details reach us only if you send that email.
  • Chat assistant: the messages you type, the page you are on, your language and a random session identifier kept in your browser for the length of your visit. The chat’s answers are generated by an AI model provided by xAI (Grok), which receives your messages to produce a reply. If you share contact details or trip details in the chat, we receive them too. Please do not share sensitive information in the chat.
  • Emails you send us: whatever you choose to include.
  • Technical and usage data: IP address, browser type, pages visited and similar information collected by our web hosting provider, security tools and analytics (see “Cookies and analytics” below).

Please do not send us sensitive data (for example health information) unless it is genuinely needed for your trip, such as an assistance or medical-transport request.

Why we use it and on what legal basis

We process personal data under the UK GDPR and, where it applies, the EU GDPR:

  • To answer your request and prepare a quote or booking: this is necessary to take steps at your request before entering into a contract, and then to perform that contract.
  • To reply to general questions and keep a record of our exchanges: our legitimate interest in running our business and answering the people who contact us.
  • To keep the website secure and working: our legitimate interest in protecting the site against abuse and fixing problems.
  • To measure how the website is used: analytics cookies, based on your consent where the law requires it.
  • To meet legal obligations, for example accounting or responding to authorities.

We do not use your data for automated decisions that have legal or similarly significant effects on you.

How long we keep it

We keep enquiries (forms, emails, chat conversations and quote requests) for 3 years after our last contact with you. If your enquiry leads to a booking, we keep the related records for as long as our legal, accounting and tax obligations require or as needed to deal with any claim. We then delete or anonymise the data.

Who we share it with

  • Aircraft operators: only when needed to prepare or carry out your quote or flight, and only the details they need.
  • Service providers that run our website and communications: our web hosting and email provider, based in the EU; the provider that hosts our chat assistant; xAI, the AI provider that generates the chat’s answers; and our analytics and security providers. They act on our instructions.
  • Authorities or advisers, where the law requires it or to protect our rights.

We never sell your personal data.

International transfers

Some of our providers, and some aircraft operators, may process data outside the UK or the European Economic Area, for example in the United States (this is the case for xAI, which powers our chat assistant, and for Google Analytics), or wherever your flight departs or lands. When that happens we rely on an adequacy decision or on appropriate safeguards such as standard contractual clauses (with the UK addendum where relevant). Where a transfer is needed to arrange a flight you asked for, it is necessary for that contract.

Cookies and analytics

Our website uses the following:

  • pll_language (our site): remembers the language you are viewing (French or English). Strictly necessary.
  • Google Analytics (measurement ID G-X9S6LT61KE; cookies _ga and _ga_X9S6LT61KE, loaded through Google Site Kit): measures visits and how pages are used. These cookies can last up to two years. Google may process the data in the United States.
  • Cloudflare Web Analytics: counts page views and measures site performance without setting cookies.
  • Google Fonts: the fonts are loaded from Google’s servers, which receive your IP address.
  • Chat assistant: keeps a random session identifier in your browser’s session storage (mkChatSession), which is deleted when you close the tab.

You can delete or block cookies in your browser settings, and opt out of Google Analytics with Google’s browser add-on. The site still works without analytics cookies.

Your rights

You have the right to access your personal data, to have it corrected or deleted, to restrict or object to its use (including at any time to direct marketing), to data portability, and to withdraw your consent at any time where we rely on it. Withdrawing consent does not affect what we did before. To exercise any of these rights, write to [email protected]. We will reply within one month.

Complaints

If you are unhappy with how we handle your data, please tell us first so we can try to put it right. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk) or, if you live in the EU, to the data protection authority in your country (in France, the CNIL, cnil.fr).
